Space Assignment Procedures

I. Definitions

Major Facilities Assignments

Major facilities assignments are managed by the Cabinet and may be deferred to Facilities Partners with written notice from the vice president for Finance and Administration. Major facility assignments are defined as the assignment of more than two offices or workspaces.

Minor Facility Assignments

Minor facility assignments are approved by the vice president for Finance and Administration and the originating unit’s vice president. Minor facility assignments are the assignment of two or fewer offices or workspaces.

II. Procedures

A. Major Facilities Assignments

All major facility assignment requests should be discussed with the originating unit’s division's vice president. The vice president for Information Services or their designee and the vice president for Finance and Administration or their designee should also be consulted about the assignment. The division vice president will then discuss the major facility assignments with Cabinet to determine if the major assignment should occur.

B. Minor Facility Assignments

All minor facility assignment requests should be discussed with the originating unit’s division vice president. The vice president for Information Services or their designee and the vice president for Finance and Administration or their designee should also be consulted about the assignment. The vice president for Finance and Administration will approve if the assignment should occur.

  • Human Resources will notify Facilities Services when an employee retires, resigns, or otherwise terminates employment.
  • Facilities Services will notify Human Resources when an employee relocates to a new space.
  • Supervisors will notify Facilities Management and Information Technology Services when an employee retires, resigns, relocates to a different office, or otherwise terminates employment.
  • Supervisors will facilitate the return of keys to Facilities Services.

If an office becomes vacant, employees wishing to be assigned to that space must follow these procedures.
